Schedule
- Regular full time, 40 hours per week
- Hours of operation: Sunday through Saturday, 9:00 a.m. to 8:00 p.m. Eastern Time
- One weekend day per week required
- 100 percent remote within eligible U.S. states
- Must reside in the United States; not hiring in AK, CA, HI, KY, ND, OH, OR, or PA
What You’ll Do
- Answer incoming calls and email inquiries in line with Villa Concierge guidelines, providing warm, professional service
- Proactively recommend experiences and add ons that enhance each client’s villa stay, including activities and local services
- Create and send introduction emails, guest arrival forms, and final travel documentation to confirmed clients
- Collect and document all arrival and departure details and relay them to villa suppliers
- Arrange and confirm client requests such as car rentals, grocery pre stocking, chef services, and ground transportation
- Coordinate with suppliers to confirm availability and handle invoicing when services require pre payment
- Enter and maintain accurate customer and service information in the company invoicing and booking systems
- Provide documentation to Accounting and add additional service lines when services are added to existing bookings
- Follow up on missing or past due client arrival information and make booking amendments according to company guidelines
- Triage customer issues and complaints, involving a supervisor or Customer Service when appropriate
- Load new supplier information into internal files and systems as needed
- Participate in ongoing training and development activities
- Build and share a strong knowledge base for each destination served, including recommendations and best practices across the concierge team
What You Need
- At least 2 years of experience in the travel sales industry and strong knowledge of luxury vacation destinations
- Experience with villas or luxury travel is preferred, and familiarity with Italy and France is a plus
- Proven ability to build strong relationships with both customers and suppliers
- Excellent written and verbal communication skills with a friendly, professional phone presence
- High level of organization and proficiency with Microsoft Office software
- Availability to work a full time schedule within the stated hours, including at least one weekend day
- Ability and willingness to travel on FAM inspection trips when required
- Residency in an eligible U.S. state
