Lap of Love is a national practice dedicated exclusively to in-home end of life care for pets. Our experienced veterinarians help pets and their families with quality of life assessments, pain and anxiety management, end of life consultations, and peaceful euthanasia in the comfort of their pet’s favorite place – home.

Position Description

Lap of Love Veterinary Hospice, headquartered in Lutz, FL., seeks to add a key member to its growing team by employing a dynamic and seasoned Veterinary Onboarding Specialist to lead the implementation process for our new team members. This role involves the facilitation of a smooth transition for all team members from the date of hire, through onboarding, and up to their ‘Go Live’, or start date. Common tasks related to the onboarding process include: communicating with new hires via phone and email to guide them through the process, assuring all tasks are completed in a timely manner by the entire implementation team, order fulfillment and initial account set-up, understanding and monitoring of licensing requirements, travel planning, and leading weekly meetings to assure the implementation team is up-to-date with the status of each new hire starting. Your ability to connect the dots and manage the details along with your willingness to take on tasks, no matter how large or small, will be essential to your success in this role.

Overall, this position requires a profound attention to detail and multi-tasking ability as you will be providing an individualized onboarding experience to 20 – 30+ new hires at any given time. This role is everchanging, requiring a self-sufficient leader with the ability to make independent, informed decisions. Effective communication and a pleasant demeanor are key, as you will be one of the first people that all of our new team members will meet upon starting with us!

Requirements

Essential Functions:

  • Assure that all onboarding tasks are completed by the entire implementation team for each new team member, and serve as the guide to all onboarding related questions
  • Guide and monitor onboarding Veterinarians through the onboarding process via emails and phone calls in accordance to the ‘Go Live’ timelines and Lap of Love’s standards
  • Ensure each new veterinarian is well-equipped and confident in their role
  • Work with the shipping department to assure supplies are on hand and ordered for onboarding veterinarians
  • Schedule and conduct veterinary Discovery Days, including field training as well as in office or virtual training
  • Edit personal biographies for new Veterinarians which will be published on Lap of Love’s website
  • Set up work applications and create the appropriate new accounts for all team members
  • Address a broad range of priorities, questions, and issues as they arise and determine the appropriate follow up action.
  • Provide guidance to new Lap of Love veterinarians including tips, suggestions, and educational tools
  • Draft, revise, and send documents via Adobe Sign.
  • Schedule calls and manage calendars, assuring timeliness and rescheduling as necessary
  • Update and revise content, manage the structure, and coordinate and deliver new ideas in Lap of Love University to increase the performance, productivity, and ease of onboarding procedures for our Lap of Love veterinarians
  • Update onboarding standard operating procedures (SOP’s) as necessary
  • Engage in projects related to onboarding, human resources, and internal operations.

  • Exceptional Computer and Technical Skills. You are comfortable and have experience working in a wide variety of web-based and productivity applications including: Microsoft Office 365 (SharePoint, Word, Excel, PowerPoint), Adobe products (Adobe Sign and Acrobat Pro), G-Suite (Gmail, Google Calendar, Google Drive, and Google Docs), Ring Central, and have the ability to quickly learn web-based and proprietary software. You also possess basic troubleshooting knowledge of standard office equipment including printers, phone systems, routers, etc.
  • Dynamic Multitasker. You are exceptionally skilled at juggling multiple tasks, allocating and optimizing resources, and managing timelines, with a typical onboarding group of 20 – 30+ new hires at any given time.
  • Great communicator. You have excellent written and oral communication skills and are known for your poise, tact, professional demeanor, and diplomacy. You confidently engage with staff at all levels and across multiple parts of our organization. You are willing to listen and learn from others.

Experience and Education:

  • Bachelor’s degree, or equivalent experience in Human Resources, onboarding, or training, required
  • Bachelor’s degree in Human Resources, Business Administration, or equivalent, preferred
  • At least 3 years of experience in Human Resources, onboarding, and/or corporate training, required
  • Top notch oral and written communication skills
  • Impeccable proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, and SharePoint), G Suite (Google Drive, Gmail, Google Calendars, and Google Sheets), Adobe, other software, and general office technologies.
  • Confident, independent thinker, and self-starter
  • Strong organizational skills with unmatched attention to detail
  • Willingness to work with others and respect their views
  • Ability to handle multiple tasks with limited supervision
  • Excellent follow-up skills

Physical & Other Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Possesses manual dexterity, fine motor skills, and the ability to operate a computer, read a computer screen and type on a keyboard for prolonged periods of time of up to 8 hours per day.
