Summary

King County’s Finance and Business Operations Division, Procurement & Payables section, is seeking a Travel Operations Specialist to support the King County’s travel program. This is a customer-focused role that requires excellent customer service skills while ensuring compliance with travel policies and processes. The Travel Operations Specialist will assist King County employees with travel related inquiries, troubleshoot system errors, and provide clear guidance on policies and best practices to ensure a seamless travel experience.
This role involves handling administrative and operational travel tasks, including processing travel requests and expense reports, managing the travel inbox, supporting audits as needed, and providing Concur system support.
The Travel Operations Specialist will also serve as a Subject Matter Expert (SME) during monthly travel training sessions, update user guides, track operational metrics, and assist with various travel-related projects and initiatives as delegated by the Travel Services Program Manager. The ideal candidate is proactive, detail-oriented, analytical, and skilled at balancing customer support with policy enforcement, ensuring that employees receive responsive, knowledgeable, and policy-compliant travel assistance.
Scope of Job Duties
- Process travel requests and expense reports, verify approvals, and ensure compliance with King County travel policies and procedures.
- Monitor and manage King County’s travel inbox, providing technical and policy support to employees using SAP Concur, troubleshooting issues, and creating support tickets or escalating as needed.
- Act as a Subject Matter Expert (SME) during monthly travel training sessions, answering questions on the travel policy and best practices.
- Update and maintain training materials, user guides, standard works, and travel resources to reflect system updates, policy changes, and user needs.
- Support the creation and analysis of operational travel metrics, ensuring data is accurately reported and used for process improvements.
- Interpret and enforce King County travel policies, providing clear guidance to employees regarding allowable expenses, required approvals, and compliance expectations.
- Assist with audits and compliance review, identifying policy discrepancies and ensuring adherence to travel guidelines.
- Identify opportunities for process improvements and efficiencies, streamlining travel operations and enhancing user experience.
- Participate in meetings, prepare reports, and contribute insights that enhance the effectiveness of the County’s travel program.
- Support additional projects and initiatives as delegated by the Travel Services Program Manager.
Minimum Qualifications
- Bachelor’s degree (Business, Public Administration, Accounting, Finance, related field) OR equivalent experience.
- Strong experience in policy interpretation, compliance review, and enforcement in a professional setting.
- Proven project management skills, with the ability to manage multiple priorities efficiently.
- Strong analytical and problem-solving skills to review travel requests and expense reports for compliance.
- Ability to take ownership of responsibilities, work independently, and meet deadlines with minimal supervision.
- Strong communication, interpersonal, writing and customer service skills
- Intermediate level of technology proficiency using MS Office Productivity tools in your daily work
- Ability to manage your time and adapt to changing priorities, work on multiple priorities and projects simultaneously, meet quick deadlines, and produce timely and quality work products.
- Ability to work with people from diverse backgrounds.
Preferred Qualifications
- Experience working in a travel program, travel services, or related industry.
- Experience using SAP Concur or similar automated travel/expense management systems.
- Knowledge of public sector travel policies, procurement, or finance-related policies.
- Experience with LEAN processes and principles
- Experience with SharePoint, MS Teams and other collaborative online tools

Position Information:
- Work Site Details: The work associated with this position will primarily be remote with in office requirements as needed for in-person meetings. This may change as required by King County business needs and for meetings/events.
- Location Requirement: Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
- Work Schedule: This position is Non-Exempt from the provisions of the Fair Labor Standards Act and therefore is overtime eligible. Employees are paid on a bi-weekly schedule, every other Thursday, comprising a 40-hour workweek; normally 8:00 a.m. – 5:00 p.m. Monday through Friday.
- Union Representation: This position is represented by Teamsters 117.
Employees will be provided with a County issued laptop. When working remotely employees must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work, remain available and responsive during scheduled work hours, and follow FBOD’s Hybrid and Remote Guidelines including on-camera participation during virtual video meetings. King County has a robust collection of tools and resources to support working remotely.
