Summary:

The Coordinator will be responsible for supporting the integration of Blue Knight across JLABS across functional teams; supporting programmatic and financial reporting; utilizing administrative systems, procedures, and policies; ensuring exceptional customer experiences; providing administrative support to the BARDA Alliance Director; and ensuring operational efficiencies across Blue Knight.

Responsibilities:

Provide administrative support to the BARDA Alliance Director (travel, expenses, scheduling, meetings, special projects, etc.).
Support submitting new work requests via the eMarketplace system, assisting with vendor management, coordinating contracts, generating POs, monitoring expenses, and tracking budgets
Support internal and external reporting requirements, including programmatic and financial reporting.
Interface with external associates, internal colleagues, and leaders across Johnson & Johnson.
Support the Blue Knight onboarding for new JLABS team members.
Support financial processes (procurement, budgeting, etc.).
Ensure an overall customer satisfaction through effective customer service.
Update, utilize and optimize systems and reporting tools.
Maintain highly confidential matters with discretion and judgement.
Work closely with the JLABS Business Operations Team across JLABS sites regarding Blue Knight activities, including:
Supporting Blue Knight company onboardings
Support the reporting requirements for Blue Knight
Work closely with the JLABS Innovation Activation team across JLABS sites regarding Blue Knight activities to include:
Support Blue Knight programs and events
Support the Health Care Compliance processes
Tracking and compiling updates on Blue Knight
Creation of event materials such as print programs, presentations, welcome slide deck, event speaker management including scheduling, collection of speaker materials and slide decks
Manage attendee lists and badge production, survey creation, and event recaps including final attendee lists
Manage event logistics such as booking venue, managing event setup and catering, coordinate event calendar entries, coordinate event setup with various teams (catering, janitorial, AV, operations) and calendar management
Support business intelligence, portfolio management, and project support
Support portfolio data management
Actively supporting relationship management that could include sourcing, reviewing, contracting, onboarding, offboarding and continued follow-up
Drive a culture of continuous improvement to streamline, simplify, standardize, and automate processes, identify, and execute on opportunities
Partner and align with all functional team members

Qualifications:

A minimum of a bachelor’s degree is required with a minimum of 3-5 years of related work experience required. A degree in science or business is strongly preferred.
Familiarity with Salesforce is required.
Must be proficient in MS Office applications including Word, Excel, Outlook, and PowerPoint.
Experience with event management platforms such as Splash and HubSpot.
Experience working collaboratively with multiple stakeholder groups.
Project/process management experience is preferred.
Experience working with and managing vendors, consultants, and budgets is preferred.
Work with external partners, customers, or media.
Experience working with US federal funding and with US government stakeholders is preferred.
