What You’ll Do
- Maintain confidentiality and security of protected health information (PHI)
- Receive and process medical record requests per company, state, and federal guidelines
- Ensure secure access and exchange of PHI
- Use Health Information Management (HIM) electronic document management systems
- Answer calls and respond to voicemails for the medical records department
- Manage inbound communications (electronic messages, faxes, mail) and perform data entry
- Respond to internal requests via email, Slack, and other platforms
- Log requests, track steps, and document progress through completion
- Validate documentation for authorizations and legal/administrative requests (subpoenas, affidavits, POA directives, disability/workers comp requests, state services, regulatory agencies, etc.)
- Send invalid request notifications when needed
- Retrieve records from EMR and other sources, verifying patient details and dates of service
- Provide records in the requested format
- Support internal teams by answering ROI questions and assisting with training
- Document accounting of disclosures that do not require patient authorization
- Scan/upload documentation and correspondence into the EMR
- Communicate workflow feedback, volume changes, and issues to the HIM Director
- Participate in operational improvement initiatives and assist with administrative tasks as needed
What You Need
- Associate’s degree or equivalent ROI experience
- 1 year of experience in a behavioral health medical records department or related field
- Healthcare setting experience preferred
- Comfort with email, phones, fax, copiers, MS Office, and business applications
- Ability to prioritize multiple requests in a fast-paced environment
- Strong confidentiality and attention to detail for accurate medical records
- Professional written and verbal English communication skills
- Work authorized in the U.S. with native or bilingual English proficiency
- Willingness to use cloud tools daily (Google Suite, Slack, Zoom, Dropbox, Salesforce) plus EMR and survey software
Benefits
- Comprehensive benefits for full-time, exempt employees
- Target base compensation: $44,000–$60,000 per year
- Compensation may include stock options and other Charlie Health-sponsored benefits
