Schedule
- Full-time, remote W2 role within the United States
- Must live outside the following locations: Alaska, Maine, Washington DC, New Jersey, California, New York, Massachusetts, Connecticut, Colorado, Washington State, Oregon, or Minnesota
- If you live within 45 minutes of a Charlie Health office, you’ll follow a hybrid schedule instead of fully remote
- Requires consistent weekday availability and the ability to work in a private, confidential setting with reliable internet
- Daily work is computer-based and communication-heavy (email, EMR, Slack, phone, fax, and other digital tools)
What You’ll Do
- Receive, review, and process requests for protected health information (PHI) in line with company policy, HIPAA, and all applicable state and federal regulations
- Maintain strict confidentiality and security of all patient records and sensitive information at all times
- Verify the validity of all incoming requests and authorizations, including subpoenas, affidavits, powers of attorney, disability forms, short-term disability, workers’ compensation, regulatory agencies, and other third parties
- Retrieve accurate patient information and dates of service from the electronic medical record (EMR) and related record systems
- Ensure records are complete, accurate, and formatted correctly before releasing them to authorized requestors
- Log, track, and document all requests, inquiries, and disclosures in the information request log and EMR, including accounting of disclosures where required
- Manage incoming communication: answer calls to the medical records department, respond to voicemails, process emails, Slack messages, faxes, and mail
- Scan, upload, and organize documents and correspondence into the EMR and electronic document management (EDM) systems
- Provide internal guidance on release-of-information processes and support staff with ROI-related questions and training needs
- Communicate workflow issues, volume trends, and process improvement ideas to the HIM Director and participate in operational improvement efforts
- Assist with additional administrative tasks as needed to support the Health Information Management and compliance functions
What You Need
- Associate’s degree required, or equivalent experience specifically in release of information
- At least 1 year of experience in a behavioral health medical records department or closely related healthcare records setting
- Experience working in healthcare is strongly preferred (behavioral health experience is a plus)
- Comfortable using email, phones, fax, copiers, and standard business applications (MS Office or Google Suite)
- Strong attention to detail, accuracy, and organization—especially around names, dates, and documentation
- Ability to prioritize multiple requests and stay responsive in a fast-paced environment
- Proven ability to maintain strict confidentiality and handle sensitive information professionally
- Clear, professional verbal and written communication skills in English
- Authorized to work in the United States with native or bilingual English proficiency
- Willingness to use cloud-based communication and record systems daily (Google Suite, Slack, Zoom, Dropbox, Salesforce, EMR, surveys)

- Target base salary range: approximately $44,000–$60,000 per year, depending on experience, location, and internal equity
