Schedule
- Remote, US based
- US work hours, graveyard shift
- 20–40 hours per week
- Must be comfortable working nights and sustaining that schedule long term
What You’ll Do
- Handle prior authorizations and related admin paperwork
- Document new patient and referral intake
- Manage appointment scheduling, cancellations, and rescheduling
- Enter and update patient info, medical records, and billing data (CPT, ICD-10, HCPCS) in EMR/EHR systems
- Assist with insurance claims processing, eligibility verification, and billing inquiries
- Respond to patient inquiries and route them to the correct provider or department
- Help analyze healthcare data, prepare reports, and maintain accurate records
- Ensure HIPAA compliance and protect patient confidentiality at all times
- Coordinate sending medical records to departments, providers, and external professionals
- Take on ad hoc admin tasks as assigned
What You Need
- Bachelor’s degree in a medical or pharmaceutical related field
- At least 3 years of experience as a Medical Virtual Assistant; psychiatry/psychiatric clinic experience strongly preferred
- Strong understanding of medical terminology and basic clinical workflows
- Proficiency with EMR/EHR systems and comfort troubleshooting common tech issues
- Solid knowledge of healthcare privacy rules (HIPAA)
- Excellent written and spoken English (C1 level or higher)
- Strong organizational skills, time management, and attention to detail
- Tech savvy: comfortable with desktop sharing, cloud tools, VoIP, and remote workflows
- Able to work consistently on a graveyard shift (US hours)

- Main and backup computer (≥ 1.8 GHz, ≥ 4GB RAM)
- Main internet: ≥ 25 Mbps wired
- Backup internet: ≥ 10 Mbps
