- US work hours, 20–40 hours per week
- Must be able to work a graveyard shift
What You’ll Do
- Manage prior authorizations and related administrative paperwork
- Document new patient and referral intake
- Handle appointment booking, cancellations, and rescheduling for patients and providers
- Enter patient details, medical records, and billing data (CPT, ICD-10, HCPCS) into EHR/EMR systems
- Support insurance processes including claims, verification, billing inquiries, and documentation
- Respond to patient inquiries, provide information, and route issues to the appropriate clinician/provider
- Assist with basic healthcare data analysis, reporting, and record maintenance
- Coordinate sending medical records to departments/providers as directed by the Managing Physician
- Maintain strict HIPAA compliance and patient confidentiality
- Complete ad hoc administrative tasks as needed
What You Need
- Bachelor’s degree in a medical field or pharmaceutical-related industry
- 3+ years of experience as a Medical Virtual Assistant
- Psychiatry or psychiatric clinic experience strongly preferred
- Excellent English communication skills (written and verbal, at least C1 level)
- Strong understanding of medical terminology and healthcare practices
- Proficiency with EHR/EMR systems and ability to troubleshoot common issues
- Knowledge of healthcare privacy regulations (HIPAA)
- Strong interpersonal skills with a patient-first mindset
- Highly organized with strong time management and attention to detail
- Tech-savvy with comfort using cloud tools, VoIP, and desktop sharing
