JOB DESCRIPTION:

  • The Expediting Specialist’s objective is to verify proper service of subpoenas and to coordinate/schedule retrieval of confidential and time sensitive records.
  • Specialists are trained in research skills and specific workers’ compensation regulations which are used to educate locations and ensure timely retrieval of requested documentation.
  • This position includes compliance with HIPAA and all other state and federal document security regulations.

REPORTS TO:

Expediting Supervisor. There are no direct reports to this position.

SCOPE:

  • The Expediting Specialist makes and receives calls to medical facilities, employers and Insurance companies for the timely retrieval of records.
  • They confirm the receipt of the request, and try to obtain status on when records can be ready. In the event any errors are detected, research is done to obtain accurate information.
  • Expediting specialists schedule appointments using Google Calendar, and sets readies for the field agents, and in addition troubleshoots and leaves detailed notes in the system, hence written and verbal skills are critical.
  • The Expediting Specialist is on the phone about 90% of the time.
  • The Specialist will work out of internal computer systems to communicate externally (locations and clients) and internally to all interested parties.
  • The Specialist maintains a professional demeanor when interacting with locations, utilizing a variety of methods including postal mail, fax, e-mail, and phone calls.
  • Researching and navigating through various systems, spreadsheets, and websites are key components of the position.

REQUIREMENTS:

  • Typing speed of at least 35 WPM with 90% accuracy
  • Previous customer service experience
  • Previous call center experience preferred
  • Excellent written communication skills, including proof-reading and grammar
  • Ability to follow direction and process guidelines
  • Basic computer skills, including internet usage and data entry
  • Ability to work both independently and as part of a team
  • High ethical standards
  • Must pass pre-employment drug screening and background check

ESSENTIAL FUNCTIONS OF THE POSITION:

  • Employ excellent time management in balancing all work duties
  • Adhere to all company policies and procedures, including, but not limited to, attendance, dress code, and professionalism
  • Meet departmental quality and quantity metrics
  • Demonstrate discipline to follow all active processes to ensure standardization
  • Demonstrate accuracy and consistency within work tasks
  • Confirm receipt of Subpoenas
    • Contact the appropriate entities by phone/fax/email/mail
    • Maneuver between various systems to further conduct research
  • Become familiar with statutes
  • Ensure retrieval of records
    • Utilize all means available to ensure records are received in a timely manner
    • Schedule Gemini Field Agents to retrieve records
    • Maintain an organized calendar and workspace
  • Review Invoices and process for payment
  • Amend Subpoenas and Request by Authorizations
  • Ability to perform work safely
  • Other job duties as may be required

KNOWLEDGE OF:

The individual should have a working knowledge of the operation of a desktop computer, business phone, software and other computer programs including the use of Google Apps (Docs, Sheets, Gmail, etc) to complete assigned work. Additionally, the individual is aware of best practices for professional communication including phone and written etiquette, and use of basic math.

MINIMUM QUALIFICATIONS:

Education:

  • High School Diploma or GED; an associate’s degree is preferred, but not required
  • Previous customer service experience
  • Previous call center experience preferred
