 Job Title  Executive Assistant – Sales, Marketing, Medical Affairs & Corporate Events

Department: Administration

Reports to: Executive Vice President

FLSA Status: Exempt

SUMMARY: The Executive Assistant will provide comprehensive support to the Executive Vice President as well as Sales, Marketing, Medical Affairs and Corporate Events managers. This individual will be responsible for a wide variety of tasks. 

Responsibilities:

  • Serves as the primary support to the Executive Vice President as well as Sales, Marketing, Medical Affairs and Corporate Events managers.
  • Acts as the administrative point of contact between the executive, managers and internal/external clients
  • Provides executive support on matters relating to the executive’s obligations and mandates
  • Coordinates the executive’s schedule including internal and external obligations
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Processes expense reports
  • Maintains key management calendars
  • Develops and prepares presentations and reports
  • Coordinates and prioritizes the executives’ daily appointments and business obligations
  • Performs other related functions delegated or assigned in their capacity as an executive assistant
  • Periodically coordinates training programs and customer events including event location coordination, participant travel,      food/beverage logistics, etc.
  • Creating and maintaining sales contracts and agreements
  • Responsible for some bookkeeping, including team budgets and commission tracking
  • Research that supports the team, such as performing internet searches for potential clients and gathering information that      could be useful to the sales team
  • Liaise with other departments
  • Manage data spreadsheets and prepare slides for reports
  • Maintain Global calendar and set up appropriate monthly and/or quarterly meetings
  • Submit and follow up on all created collateral materials or presentations/slides (track progress and completion)
  • New forms/SOPs
  • Other duties as assigned

Requirements

EDUCATION AND EXPERIENCE: Bachelor’s Degree preferred and five years prior experience supporting senior management required. Excellent written and verbal communication skills or equivalent. Proficient in Word, Excel, and Power Point presentations.

Proven experience as an executive administrative assistant, senior executive assistant or other senior level secretarial position. Requires discretion and confidentiality; exemplary planning and time management skills; ability to multitask and prioritize workload; high level verbal and written communication skills.
