What You’ll Do
- Create and send statements or invoices, track payments, and record company expenses
- Research trends, best practices, and public info, then prepare reports for comparative analysis
- Store and organize documents and files
- Data entry tasks like lead lists, meeting minutes, audio transcription, payroll prep, and organizing research notes
- Research products, purchase goods, and secure samples
- Store, update, and collect info for marketing and sales campaigns using a CRM
- Monitor projects, manage internal communication, and organize company data
- Coordinate team calendars, prevent conflicts, and ensure clients are on time and prepared for meetings
- Prepare itineraries and handle travel bookings (hotels, rental cars, etc.)
- Handle inbound and outbound calls for appointments and informational inquiries
- Manage email: reply, follow up, organize inbox per client preferences, and flag important messages
- Turn data and content into cohesive reports and presentation slides
- Upload videos, manage negative reviews, and keep account profiles updated
- Handle ad hoc tasks as assigned
What You Need
- Minimum 3 years of experience as an Executive Assistant supporting C-level leaders (CEO, COO, etc.)
- Bachelor’s degree or certificate course (required)
- Excellent phone, email, and instant messaging communication skills
- Strong English communication skills (written and verbal), at least B2 level
- Solid organizational and time management skills
- Tech savvy with modern tools (desktop sharing, cloud services, VoIP)
- Experience with MS Office or similar word processing/spreadsheet tools
- Familiarity with online calendars and scheduling tools (Google Calendar, etc.)
- Proactive attitude and willingness to be trained
- Must be located in the United States
