What You’ll Do

Executive Assistance
• Provide high-level administrative support to Medical Group executives (calendar, travel, meetings, email support)
• Prepare and edit reports, presentations, correspondence, and other documents
• Coordinate executive meeting logistics, including scheduling, agenda prep, and follow-ups
• Manage multiple tasks and projects at once while keeping deadlines tight

Time Management and Scheduling Optimization
• Partner with leaders to assess and improve calendar and time management practices
• Build and implement scheduling systems that optimize productivity and reduce calendar chaos
• Train and support leaders on best practices and scheduling tools

Communication and Coordination
• Serve as a liaison between executives and internal/external stakeholders
• Track action items, follow up, and keep projects moving to completion
• Coordinate special projects and executive initiatives as assigned

What You Need
• 5+ years experience supporting senior leadership as an Executive Assistant (or similar)
• Bachelor’s degree preferred (Business Administration, Management, or related)
• Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook)
• Excellent organization, multitasking, and attention to detail
• Strong written and verbal communication skills
• High discretion with confidential information
• Ability to anticipate needs, solve problems, and take initiative in a fast-paced environment

Preferred
• Experience in healthcare or senior living
• Experience in a high-growth company
• Familiarity with time management tools and scheduling techniques
