Executive Assistant
ClearScale is currently looking for an Executive Assistant to be the supportive force that empowers our CEO. With a primary responsibility of supporting the CEO, you will provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. He/She will have previous experience working in a remote office environment, performing administrative duties and providing support to management. Given the changing nature of the executive landscape, we will rely on you for flexibility and foresight, while maintaining confidences related to high-level systems and operations.
Responsibilities
- Reporting to the CEO, the Executive Assistant will provide high-level administrative support to the CEO and other Executive Committee members
- Organize complex calendars and schedules; resolving any scheduling issues
- Assist in the drafting and preparing of correspondence for internal announcements, town halls, board meetings, and organizations that the executive is involved with
- Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Conserve the Executive’s time by reading, researching, collecting and analyzing information as needed, in advance.
- Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination
- Organize team communications and plan company events and client meetings
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Maintain some level of flexible hours as dictated by the needs of business for critical projects and meetings
Skills & Attributes
- 5 years experience in administrative role reporting directly to upper management
- 2 years experience supporting a CEO
- Advanced proficiency in both Microsoft Office and GSuite, and other office productivity tools, with aptitude to learn new software and systems
- Experience using Slack, Zoom and Google Meet
- Experience working in a remote office environment (this is a 100% remote role)
- Experience managing calendars and schedules in different time zones as our Executive team is dispersed across multiple time zones
- Experience assisting in the creation of executive level presentations
- Experience managing travel, meeting coordination, and event planning
- Ability to keep company confidences
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Superb written and verbal communication skills
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Service focus – dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Ability to think outside of the box with a sense of urgency.
