Schedule
Full-time, remote position based in the United States.
Shift-based schedule: Monday–Friday, 8:00 a.m. to 5:00 p.m. MST.

What You’ll Do
- Lead, coach, and develop a team of 10+ Admissions Coordinators who manage a high volume of inbound and outbound calls from prospective clients, families, and referral sources.
- Oversee hiring, onboarding, training, and performance reviews for Admissions Coordinators, ensuring the team consistently meets or exceeds goals.
- Own team scheduling, workload distribution, and daily operations to maintain strong contact center service levels and call quality.
- Ensure the team provides timely, compassionate communication to all prospective clients, families, and referral sources throughout the admissions process.
- Champion each client’s admissions journey, helping address and resolve any questions or concerns from clients and families about Charlie Health’s program.
- Collaborate closely with internal stakeholders to ensure key KPIs such as time-to-admission, admission rates, and client satisfaction metrics are met or exceeded.
- Develop, refine, and implement best practices across the Admissions and Discharge processes to improve efficiency and outcomes.
- Partner with Executive Leadership to report on Admissions performance, trends, and opportunities for improvement.
What You Need
- Three to six or more years of experience leading or mentoring a team of Admissions and/or Sales Representatives, ideally in a healthcare or behavioral health setting.
- Demonstrated ability to manage a team in a high-volume, metrics-driven environment.
- Hands-on experience with Salesforce or another CRM platform.
- Strong operational and multitasking skills, with the ability to balance people leadership, performance management, and daily execution.
- Familiarity with HIPAA and handling sensitive health information is a plus.
- Behavioral health experience and comfort working with vulnerable populations is strongly preferred.
- Proficiency with Microsoft Office and Google Suite.
