Executive Assistant- Sales Operations

Overview:
We are seeking a highly organized and efficient Executive Assistant to support our Senior Sales Leader in driving sales excellence and achieving business goals. As the Executive Assistant, you will play a pivotal role in ensuring smooth operations and providing comprehensive administrative support to the sales team. The ideal candidate will have some experience with sales force, reporting, and sales ops administration, along with exceptional organizational skills and attention to detail.
Responsibilities:
- Administrative Support: Provide high-level administrative support to the Senior Sales Leader, including managing calendars, scheduling appointments, arranging travel, and organizing meetings and events.
- Sales Operations Administration: Assist in the execution of various sales operations tasks, such as updating and maintaining the CRM system (Salesforce), generating sales reports and analytics, managing sales documentation, and coordinating sales team activities.
- Reporting and Analysis: Prepare and analyze sales reports, performance metrics, and key performance indicators (KPIs) to provide valuable insights to the Senior Sales Leader and the sales team. Identify trends and areas for improvement, and make recommendations for sales strategies and process enhancements.
- Communication and Coordination: Act as a liaison between the Senior Sales Leader and internal/external stakeholders. Facilitate effective communication, coordinate meetings, and ensure timely dissemination of information. Assist in drafting and reviewing sales-related communications, presentations, and proposals.
- Sales Team Support: Collaborate with the sales team to provide administrative support, including managing sales documentation, coordinating sales training programs, and assisting with onboarding new team members. Maintain sales materials, presentations, and collateral.
- Project Management: Assist in managing special sales projects, initiatives, and events. Coordinate project timelines, gather relevant information, and ensure timely completion of deliverables. Track project progress and report updates to the Senior Sales Leader.
Requirements:
- Experience: Prior experience as an Executive Assistant, Sales Administrator, or similar role supporting senior sales leaders is preferred. Experience working with Salesforce or other CRM systems is required.
- Sales Operations Knowledge: Familiarity with sales force administration, reporting, and sales operations processes. Understanding of sales pipelines, forecasting, and territory management is a plus.
- Organizational Skills: Excellent organizational and multitasking abilities with strong attention to detail. Ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment.
- Analytical Abilities: Proficient in generating and analyzing sales reports, metrics, and KPIs. Ability to identify trends, patterns, and insights from data and translate them into actionable recommendations.
- Communication Skills: Strong written and verbal communication skills. Ability to effectively communicate with internal and external stakeholders at various levels of the organization.
- Technology Proficiency: Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM systems, preferably Salesforce. Ability to quickly learn new tools and software.
- Professionalism and Confidentiality: Ability to maintain a high level of professionalism, discretion, and confidentiality when handling sensitive information.
- Proactive Attitude: Self-motivated and proactive approach to work. Ability to anticipate needs, take initiative, and offer solutions to challenges.
