This role supports a client’s cleaning business and virtual assistant business, helping both stay organized, responsive, and on track as they grow. Schedule
- Part-time, client-based
- Mondays, 9:00am–3:00pm (or every second Monday), flexible within that window
- Potential additional hours in the future (including coverage for cleaners)
- Remote-first role (with occasional optional cleaning shifts as the businesses grow)
What You’ll Do
⦁ Maintain and confirm the weekly client schedule for the cleaning business, keeping all bookings accurate
⦁ Assign jobs to cleaners and ensure they have the latest notes and project details
⦁ Respond to customer questions quickly across communication channels
⦁ Process invoices, follow up on payments, and keep records organized
⦁ Support weekly contractor payroll and billing workflows
⦁ Compile weekly service logs and performance data into clear reports
⦁ Keep CRM records accurate for virtual assistants and clients
⦁ Audit VA hours and assist with weekly invoicing preparation
⦁ Support client onboarding intake so new accounts start smoothly
⦁ Create weekly summaries highlighting key performance metrics
⦁ Keep communication professional and clear between clients and the VA team
⦁ Handle general admin tasks, documentation, and day-to-day operational projects
What You Need
⦁ Prior administrative experience (required)
⦁ Ability to work independently with minimal oversight and high ownership
⦁ Strong verbal and written English communication skills
⦁ Comfort with Google Workspace, spreadsheets, and CRM platforms
⦁ Excellent time management, accuracy, and prioritization habits
⦁ Ability to pass a standard criminal record check
⦁ Legal authorization to work in Canada
⦁ Minimum 2 years residency in Canada with familiarity of local market and cultural nuances
⦁ Reliable tech setup:
- Primary internet 15 Mbps minimum, plus backup internet 10 Mbps minimum (power-outage capable)
- Primary laptop/desktop meeting minimum specs (modern i5/i3 or Ryzen 5 equivalent, 8GB RAM)
- Backup device meeting i3-level performance and usable during power interruptions
- Webcam, noise-canceling USB headset, smartphone, and a quiet dedicated home office
