Schedule

What You’ll Do
⦁ Oversee daily project and office operations to keep workflows organized and on track
⦁ Prepare correspondence, memos, reports, and internal documentation for leadership
⦁ Coordinate procurement, inventory, and travel logistics as needed
⦁ Maintain a cash journal and coordinate with accounting for accurate reporting
⦁ Schedule meetings, manage appointments, and support multi-stakeholder coordination
⦁ Update and maintain policies, procedures, and documentation across projects and office operations
⦁ Coordinate with IT and vendors for equipment, services, and operational needs
⦁ Manage contracts, invoices, budgets, and administrative tracking
⦁ Research, compile, and support grant and proposal submissions using existing materials
⦁ Draft submissions for Managing Director review and approval
⦁ Support communications including maintaining a social media plan and scheduling approved content
⦁ Assist with onboarding new hires, employee questions, and basic HR coordination
⦁ Help plan meetings, conferences, and internal or external events

What You Need
⦁ Proven experience as a Project Manager and/or Administrative Officer (required)
⦁ Knowledge of office systems, project coordination, and admin best practices
⦁ Strong organizational skills with the ability to prioritize in fast-paced environments
⦁ Excellent written and verbal communication
⦁ Strong attention to detail, sound judgment, and problem-solving ability
⦁ Proficiency in Microsoft Office (Excel, Word, Outlook) and collaboration/scheduling tools (Teams, email schedulers, etc.)
⦁ Bachelor’s degree required (graduate qualification in Business, Project Management, or related field is a plus)
