Schedule
- Remote, U.S.-based role
- Hybrid schedule required if located within 45 minutes of a Charlie Health office
Responsibilities
- Process and fulfill requests for patient health information in compliance with HIPAA, state, and federal regulations.
- Maintain strict confidentiality and security of protected health information.
- Validate and process authorizations, subpoenas, affidavits, power of attorney directives, and other legal requests.
- Retrieve, verify, and release accurate patient information from electronic medical records (EMR).
- Manage inbound calls, emails, faxes, and postal requests related to medical records.
- Track all requests and document the release process from initiation to completion.
- Provide requested records in proper format and issue notifications for invalid requests.
- Support internal stakeholders by answering ROI-related questions and assisting with training.
- Upload and maintain accurate documentation in EMR and related systems.
- Collaborate with the HIM Director and clinical teams to improve workflows and ensure compliance.
Requirements
- Associate’s degree or equivalent release of information experience required.
- Minimum 1 year in behavioral health medical records or related healthcare role.
- Strong knowledge of HIPAA and medical record privacy standards.
- Skilled in handling confidential information with extreme attention to detail.
- Proficient with email, phone systems, fax, MS Office, and EMR platforms.
- Comfortable using cloud-based tools (Google Suite, Slack, Zoom, Dropbox, Salesforce).
- Ability to prioritize tasks and thrive in a fast-paced environment.
- Excellent verbal and written communication skills in English.
- Work authorization in the U.S. with native or bilingual English proficiency.
Benefits
- Comprehensive benefits package for full-time, exempt employees.
- Salary Range: $44,000–$60,000 per year at start, based on location and experience.
- Additional compensation may include stock options and Charlie Health-sponsored benefits.
