Therapy Flow is a leading education, tools, and services company helping mental health private practices simplify ownership and grow sustainably. We’re expanding our service offerings and seeking a Client Appointment Specialist to convert inbound leads into booked appointments for our clients. You’ll be the first point of contact for potential patients—answering calls, following up, and managing multiple client pipelines to ensure high booking rates and a seamless experience.

• Pay: $42,000 – $55,000 annually
• Employment Type: Full-time, Remote (U.S. only)

📋 What You’ll Own
Lead Engagement & Follow-Up
• Answer inbound calls in real-time and provide friendly, knowledgeable support to prospective patients
• Conduct outbound follow-up via calls, texts, and emails to nurture leads
• Qualify leads and schedule them with the right clinician
• Track lead progress to maintain consistent follow-ups and high booking rates
Sales & Conversion Optimization
• Develop in-depth understanding of each client’s services and ideal patient profile
• Use persuasive communication to engage leads and overcome objections
• Implement and refine scripts and strategies to boost conversion rates
• Identify bottlenecks in booking processes and recommend improvements
Operational Excellence & Reporting
• Keep CRM records up to date with lead status, appointments, and follow-ups
• Align scheduling with client availability
• Report on trends, objections, and improvement opportunities
• Communicate professionally with both leads and client teams
🎯 Must-Have Traits
• 2+ years in customer service, sales, or appointment scheduling
• Proven skill in handling inbound/outbound calls with professionalism
• Strong persuasion and sales abilities with a focus on conversions
• Excellent written and verbal communication
• CRM and scheduling software proficiency (GoHighLevel a plus)
• Highly organized, detail-oriented, and able to manage multiple leads simultaneously
• Proactive problem solver with a growth mindset
