The Role
As a Training Operations Coordinator, your purpose is to leverage communication, time management, and organizational skills to develop, maintain, and improve training operations and logistics. To accomplish this goal, you will perform duties such as building training schedules, informing capacity, managing travel logistics, and communicating clearly and effectively with both internal and external partners. A wide degree of self-motivation, problem solving, and multi-tasking is expected. Position location: remote.
Responsibilities
· Act as point of contact for training logistics and operations
· Liaise with recruiting for onboarding roster, liaise with business partners for continuing education roster
· Organize classroom assignments and trainer scheduling and assignments
· Own tool, equipment, fleet procurement, inventory, and material organization
· Coordinate and schedule remote (VILT) training
· Own catering vendors and orders
· Own the training master calendar for multiple lines of business
· Create and maintain attendance tracking in accordance with organizational attendance policy
· Drive, create, and continuously improve processes that reduce cost
· Partner with key stakeholders to determine best practices for communication and flow of information
· Attend stakeholder meetings to provide training operations support and insight to business leaders
· Ensure clear and consistent communication with stakeholders regarding training enrollment
· Organize, maintain, and facilitate on-site procedures to ensure a smooth and world class experience for new hires, vendors, and staff
· Ensure consistent processes and experience across multiple training locations nationwide
· Complete all travel bookings and logistics for training attendees
· Control enrollments in both online and instructor led training
· Collaborate with other members of the training organization as operations impacts their scopes of work
· Support the identification, procurement, and on-site maintenance of training facilities
· Develop and maintain all onboarding, general training, and product/business line-specific process documentation and other related training material as needed
· Manage weekly throughput metrics and provide management with information as required
· Maintain knowledge of platforms and tools as is relevant to learners and partners
· Assist as required with Accounts Payable and Accounts Receivable functions related to training initiatives
· Manage operating budget across multiple training locations, including purchase orders, invoicing, and tracking
Requirements
· Bachelor’s Degree or equivalent work experience and evidence of exceptional ability
· Mastery in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
· Experience within a Learning & Development environment is preferred
· Familiarity with JIRA Project Management Tool is preferred
· Experience working with Concur (travel)
· Expert communication skills
· Strong time management and organizational skills
· Prolonged periods of repetitious duties including lifting, bending, and standing for extended periods
· Open collaborative style: ability to work both in a team environment and autonomously with minimal supervision or direction
· Ability to drive results through ambiguity and comfortable in environments with shifting priorities
· Must be able to lift at least 50 pounds frequently
· Ability to climb and utilize equipment on site including various ladders rated for 325lbs.
