What You’ll Do

  • Oversee daily project and office operations to keep workflows running smoothly
  • Draft and format correspondence, memos, reports, and internal documentation
  • Manage scheduling, meetings, and appointment coordination
  • Support procurement, inventory tracking, and travel logistics
  • Maintain a cash journal and coordinate reporting with accounting
  • Update and maintain project and office policies and procedures
  • Coordinate with IT and vendors for equipment and service needs
  • Assist with contracts, invoices, and basic budget tracking
  • Research and compile grant/proposal submissions using existing materials, then route drafts for leadership review
  • Build and maintain a social media plan aligned to leadership direction
  • Schedule and publish approved content using content libraries, newsletters, and AI tools
  • Support HR/operations needs including onboarding coordination and employee inquiries
  • Help plan internal and external events (meetings, conferences, partner sessions)
  • Provide general admin support as needed, including support for visitors/collaborators

What You Need

  • Proven experience as a Project Manager, Administrative Officer, or similar operations support role
  • Strong organizational and project coordination skills with excellent follow-through
  • Clear, professional written and verbal communication skills
  • High attention to detail with sound judgment and a solutions-first mindset
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and collaboration tools (Teams, scheduling tools)
  • Ability to manage multiple stakeholders and shifting priorities in a remote, fast-paced environment
  • Bachelor’s degree required (graduate qualification in Business/Project Management preferred)
