We are seeking an Order Processing Specialist- Billing to accurately and efficiently handle various financial aspects of the Internet Department. In this role, you will serve as a liaison to the Internet Customer Service and Sales Teams.
Job Description:
- Interfaces with various aspects of the billing department listed below. Representatives can be assigned any number of the below duties and tasks at any time:
- Ensures bookkeeping is done in a timely manner and turned into Sales Audit daily.
- Processes check orders that are received on the day they are received.
- Follows-up on all check orders with the customer on a weekly basis.
- Processes gift cards sales and mails out to customers the same day.
- Daily follow-ups on Failed Re-Authorizations and Collections by making the best attempt to recover monies from the customer or prevent orders from shipping / delivering if funds have not settled.
- Manages tax-exempt files and processes tax-exempt orders according to company and state sales tax guidelines.
- Handles flagged orders for billing and shipping address verification, CVV, P.O. Box, and IP addresses by following the department guidelines to prevent fraud on a daily basis.
- Identifies and reports Hospitality orders to direct manager to be forwarded to the Hospitality division.
- Reports any indication of fraudulent activity to Loss Prevention and Management.
- Always tries to prevent cancellations by contacting customers or getting management involved to save the sale.
- Serves as an information base and a liaison to Customer Service, Internet Sales, Professionals On-line and Lamps Plus stores regarding billing issues for specific internet customer orders.
- Respectfully communicates with management regarding the misuse, mistakes or lack of knowledge regarding various policies and or procedures affecting the billing department.
- Communicates with management on any issues, discrepancies and programming glitches affecting the internet department.
- Handles customers with care, empathy and sincerity regarding their issues.
- Communicates with the Customer Retention department to avoid cancellations.
- Performs other duties as assigned by management.
Job Requirements:
- Minimum 2 years in a Customer Service or Retail environment.
- Must be proficient in English, both verbal and written.
- Must be computer literate and able to navigate through programs and windows.
- Must be able to articulate details to customers in a professional manner.
- Must be able to follow direction.
- Must be able to communicate calmly under pressure.
- Must be able to multi task, i.e. talk on the phone and type notes at the same time.
