Position Overview

The Intake Supervisor is responsible for overseeing their team, ensuring the efficient and accurate handling of patient information, and coordinating patient admission process. This role involves higher-level decision-making, strategic planning, and management of the team’s performance. The Supervisor is also directly responsible for the hiring, training, and terminations within the team. Strong leadership, organizational skills, and attention to detail are essential to effectively lead and support patient admission process.

The starting pay for our Intake Supervisor is $55,000 per year. Essential Job Functions

Leadership and Management: Manage the day-to-day operations of the team, including hiring, training, and providing ongoing performance feedback.
One-on-One Development: Conduct regular one-on-one meetings with team members to provide personalized coaching, address concerns, set individual goals, and foster professional growth.
Strategic Planning: Schedule and assign tasks to optimize workflow and ensure timely completion of Intake processes.
Regulatory Compliance: Ensure the team’s adherence to all regulatory requirements, including confidentiality and privacy policies. Ensure work meets internal and external compliance requirements, maintaining confidentiality and adhering to HIPAA guidelines/regulations. 
Liaison Role: Act as the primary point of contact with other departments for escalation of issues.
Advanced Problem-Solving: Lead in handling escalated issues in the Escalation Queue, technical troubleshooting, and resolving patient complaints.
Data Analysis: Prepare and analyze detailed reports on Intake metrics, trends, and team performance.
Collaborate with Sales AVP: Collaborate closely with the sales team to facilitate patient admissions, streamlining processes to reduce days to start of care and enhance overall patient experience
Quality Assurance: Oversee quality control procedures and drive continuous improvements in the team’s processes and documentation.
Decision-Making: Identify areas for improvement and implement corrective actions as needed.
Goal Achievement: Monitor the team’s performance to ensure that all daily, monthly, and quarterly targets are met.
Interdepartmental Communication: Engage proactively with other departments to address patient concerns, presenting clear solutions and fostering effective teamwork.
Support Company Culture: Demonstrate core values such as compassion, team integrity, accountability, trust, innovation, compliance, and fun, supporting the Aveanna mission and culture. 
Continuous Improvement: Maintain skills and qualifications necessary to provide or support quality care, including attending company-wide educational programs.

Policy Adherence: Comply fully with company policies and procedures upon employment. 
Other Duties as Assigned: Complete additional responsibilities as required to support team objectives and operational needs.

Requirements

Remote Work Requirements: Workspace: Maintain a quiet, dedicated workspace free from non-work-related distractions. 
Professional Appearance: Employees are expected to maintain professional appearance and a camera-ready presence during working hours. In order to foster engagement and connection, employees are expected to be on camera during scheduled meetings or team discussions. 
Dependent Care: Working remotely is not intended as a substitute for childcare or other caregiving obligations. 
Internet Connectivity: Ensure appropriate internet speed to handle call center software and communication needs (typically a minimum of 100 Mbps download and 50 Mbps upload speeds).
Security: Adhere to company data security policies, ensuring a secure work environment to protect patient information. 
Communication: Maintain regular communication with the team through virtual meetings, email, telephone and instant messaging tools.  
Self-Management: Demonstrate strong self-management skills, including time management, accountability, and discipline to stay productive without in-person supervision. 
Technical Support: Be proactive in resolving technical issues and communicate promptly with IT support if needed. 

In-Office Requirements (This applies only to employees who have additional responsibilities in an Aveanna office):Office Management: Ensure a well-organized and efficient office environment, overseeing daily operations and addressing any administrative needs.
 Temperature Checks for Enteral Formula: Conduct regular checks to verify that enteral formula is stored at safe temperatures, meeting quality and safety standards.
Fire Extinguisher Maintenance: Perform periodic maintenance checks on fire extinguishers to comply with safety regulations and ensure emergency readiness.
 Inventory Management: Track and manage inventory of supplies and equipment, ordering as necessary and keeping accurate records to maintain stock levels.
Clean/Dirty Equipment Area Maintenance: Maintain designated areas for clean and dirty equipment, following health and safety protocols to prevent cross-contamination.
Customer, Vendor, and Surveyor Assistance: Provide a positive and responsive experience for customers, vendors, and surveyors, addressing inquiries, offering guidance, and facilitating visits as needed
 

Qualifications

Minimum Education: High School graduate
Preferred Education: Bachelor’s Degree in related field
Minimum Experience: 2 years in management
Preferred Experience: Experience in Healthcare preferred
Supervises: Intake Lead, Intake Representative

Other Skills/Abilities

Proficient in Microsoft suite of products including Outlook, Word and Excel.
Self-starter, able to display the highest level of integrity and respect for confidentiality.
