Job Summary:
As an HR Associate at Tokyo Academics, you will provide administrative support to the Human Resources department including onboarding, recruitment, compliance tracking, etc., as well as assisting with all internal and external HR-related inquiries and requests, and being an active team player in projects initiated by HR.

This is a remote role, you can work from anywhere in the world, and must be available working during our regular business hours (10am – 7pm Japan Standard Time).
What you will work on:
Staff Relations
- Assist in responding to internal and external HR-related inquiries and requests
- Work with Recruitment team to ensure a smooth onboarding process for all divisions such as scheduling orientations and welcoming new hires
- Communicate policies regarding Human Resources, compensation, and benefits
- Support sensitive or high profile HR issues, balancing business need alongside local legislations and associated risks
- Be involved in interdepartmental meetings, functions, events, engagements, and other necessary tasks that require HR participation
- Assist in ensuring new hire, staff, employee satisfaction and become the source person for any HR related issues and concerns
Policy formation
- Assist in identifying opportunities to update and improve HR processes and services, and recommend innovative ideas for further building a well-structured HR management
- Assist and participate in HR projects related but not limited to creating policies and procedures for the company
Recruiting
- Assist Recruiting team in administrative tasks including: screening applications; scheduling interviews and coordinating interview logistics; communicating with candidates regarding their application status; assisting with the creation and distribution of offer letters; and assisting in organizing recruitment events or job fairs
Administrative tasks
- Provide comprehensive administrative support to the HR Lead in handling the full employment lifecycle, including recruitment, onboarding, performance evaluations, offboarding and exit interviews.
- Execute duties related to onboarding and re-onboarding including: draft and distribute contracts; set up systems (Skype, Slack, internal tools); schedule onboarding meetings with key stakeholders; facilitate onboarding sessions, covering essential policies and systems onboarding; provide support to new hires by addressing their questions; and ensuring timely completion of all necessary paperwork and pre-onboarding tasks.
- Maintain accurate and up-to-date staff records, ensuring compliance with regulatory requirements.
- Frequently update workforce database for efficient KPI analysis and projections
- Routinely clarify, validate, and follow-up with the HR Lead the day-to-day HR duties by means of proper documentation, minute-taking, scheduling, email handling, and being responsive to different internal communication channels.
Our ideal candidate has/is:
- A Degree in Human Resource, Psychology, Business Administration, or other relevant field
- Administrative experience or adequate knowledge of the various HR facets
- Excellent Business English communication skills
- Excellent interpersonal skills, personable, and enthusiastic
- Confident in interacting and communicating in a multicultural setup
- Tech savvy and proficient in Google Suite, Microsoft Office, communication tools like Skype, Slack, Zoom, and other workforce platforms
