BASIC FUNCTION
MAJOR ACCOUNTABILITIES
Staffing Associate Functions- Assist with the organization of wellness events for assigned department ensuring adherence to established corporate and departmental policies and procedures
*Assist staff members (e.g., project managers, etc.) with staffing requests for onsite events
*Review Customer Relationship Management Database (e.g., salesforce.com) to monitor contractor staffing availability in a timely manner
- As needed, interface with internal corporate resources (e.g., Human Resources, etc.) to post contract positions externally
*Utilize multiple channels of communication with external resources (e.g., nurses, contractors, health professionals etc.) to confirm availability and coordinate scheduling ensuring to record results - Assist with scheduling travel arrangements (e.g., flights and lodging) ensuring that the contractor will arrive at the location within reasonable amount of time
- Review Client Relationship Management database (e.g., salesforce.com, etc.) to ensure event data is accurate and relevant
- Compile reports on completed events ensuring to communicate results with management
- Review contractor resumes ensuring to respond to qualified applicants in a timely manner
- Verify contractor’s professional license or certification through state databases ensuring each candidate is in good standing prior to providing services to clients
- Review and track contractor timesheets to ensure accuracy and escalate in discrepancies to management
- Provide administrative support as needed to co-workers (e.g., project managers, etc.) ensuring a balanced workload
- Keep up-to-date on corporate wellness industry initiatives and programs
*Know and support approved departmental and corporate policies and procedures relating to wellness issues
Team Interfaces/Customer Service – Establish and maintain a professional relationship with internal/external customers, team members and department contacts
- Cooperate with team members to meet goals or complete tasks
- Provide quality customer service that exceeds customer expectations and improves level of service being provided
- Treat all internal/external customers, team members and department contacts with dignity/respect
- Escalate to supervisor any situation outside the employee’s control that could adversely impact the services being provided
Mental and Physical Requirements
*This position will be exposed mainly to an indoor office environment and will be expected to work near or around computers, telephones, and printers
*The nature of the work in this position is sedentary and the incumbent will be sitting most of the time
*Essential physical functions of the job include fingering, grasping, pulling hand over hand, and repetitive motions to utilize general computer software/hardware continuously throughout the work day
*Essential mental functions of this position include concentrating on tasks, reading information, and verbal/written communication to others continuously throughout the work day

MINIMUM QUALIFICATIONS
Education:
*High School Diploma or equivalent required
Experience:
- Minimum one year of experience in project administration, human resources, or customer service preferably in a wellness industry
Other: - Intermediate knowledge of Microsoft Word and Excel required
