JOB SUMMARY

The Donor Gift Processing Specialist is responsible for the accurate and timely processing of donations. This includes but is not limited to: maintaining accurate records in Salesforce; creating and distributing acknowledgements of gifts; and maintaining a system for improved quality control for data management and gift acknowledgement processes; and coordinating with the Finance team to reconcile gift record systems. This position will also provide reporting and analysis support for annual giving, major gifts, events and other fundraising activities at Burning Man Project. This is a temporary, full-time, medical benefits eligible, remote optional role with preference given to candidates located in proximity to one of Burning Man’s operations (San Francisco, CA, Reno, NV, or Gerlach, NV.) Working hours will be based on Pacific Time. The role is anticipated to span from July 2022 – January 2023.

DUTIES & ESSENTIAL JOB FUNCTIONS

PERCENTAGE OF TIME SPENT
Timely & Accurate Gift Processing (60%)

Executes all gift processing functions including but not limited to the following:
Data entry, donor acknowledgements, receipts, matching gifts, recurring giving and other gift processing systems including integration of accurate recording of online donations.
Workflow and effectiveness of gift processing systems.
Upload check batches, credit card transactions and gift transfers to Salesforce with extreme attention to detail and improvement in quality control processes.
Reconcile gift record systems with Finance Department.
Assures the accuracy and integrity of the donor systems and manages data input.
Accurately implement established gift coding for appeals, funds, campaigns, constituent data, and special attribute systems.
Understands and implements procedures that recognize that some donor acknowledgments require special processes and live signatures. Manage the personalization of donor acknowledgements in partnership with the Director of Philanthropic Engagement and gift officers.
Oversee and execute donor acknowledgment processes; draft, merge, print and mail / email acknowledgement letters for timely distribution. Reviews, revises, and updates receipt and acknowledgement templates as needed.
Collaborate on improved processes and review status of uploads (catch-ups, uploading missing reports and acknowledgments, any other corrections).

Data Ownership & Salesforce Management (10%)

Enter, verify, and edit donor data to ensure accuracy by comparing source documents with donor database (Salesforce), performing basic research and data lookup; regularly updating donor database for accuracy.
Keep abreast of Electronic Funds Transfer (EFT) and related donor management from other revenue sources, e.g., company match programs and donation vehicles, Benevity, Facebook, etc.

Reporting and Analysis, as requested (10%)

Supports the preparation of weekly, monthly, quarterly, and annual reports and all manner of lists based on established criteria
Provides trending and analytic information as needed to support outreach strategies
Provides support to Donor Services and Data Manager, as assigned.

Prospect Research, as requested (10%)

Creates written reports, biographical profiles, providing basic analysis Interprets and translates complex financial, legal and corporate language into easily comprehensible terms while adhering to standards of discretion and confidentiality. Extracts and communicates key information which informs cultivation and solicitation strategies. Maintains active awareness of the important news and events related to philanthropy.
Using creative research techniques provides high-level research on individuals and foundations and other identified donors and prospects using a wide variety of biographical, organizational and financial sources, including online databases, Internet websites, library and government sources and other external repositories of public information to identify prospects.
Identifies donor gift capacity through the analysis and clarification of complex information using Windfall and other donor research resources.

General (5%)

Maintains up-to-date Gift Processing and Procedures Handbook.
An Understanding of accounting principles and efficient business operation.
Maintains donor confidentially and ensure compliance with related policies.
As a member of the PED team, participate in PED event support as called upon from time to time.

Other Functions and Responsibilities (5%)

Perform other duties as assigned.

LEARNING AND TEACHING
Documentation – Assists in the creation, publishing, and maintenance of process documentation related to their assigned duties.
Knowledge sharing – Helps acculturate and educate junior staff in Burning Man culture and business processes.
Training development – Collaborates with the education team to develop training materials in their area of expertise, as requested.
Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes.

QUALIFICATIONS
Required

The ideal candidate will be a pro-active, self-directed and organized professional who possesses the following skills and attributes:

A minimum of 3 years experience working in gifts processing, preferably in a fundraising environment.
Strong computer skills and experience with Salesforce required.
Accuracy, timeliness, attention to detail, and organizational skills.
Maintain strict donor confidentiality.
The ability to be self-directed.
Experience with pulling donor reports, donor prospecting and analysis a plus.
Ability to adjust schedule seasonally to work at the Burning Man event held in Nevada
Preferred
Bachelor’s degree preferred.
It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

Off-playa: Work is primarily sedentary in nature, no special demands are required.
On-playa: Work is primarily sedentary but will also include the need to find and meet with department representatives who may not be in the vicinity therefore this could include walking or using some form of transportation. Some of the work will be in outside weather conditions and will be exposed to fumes or airborne particles as well as possible extremes in temperature.
