JOB SUMMARY:
As the Creative Services Coordinator, you will organize, schedule, assign, manage and ensure the completion of work and projects within our Experience Design (XD) department. The purpose of XD is to create and design standout websites, as well as visual identities and brands for our destination marketing customers. The CSC serves an integral role in the operational functioning of the department. As part of design operations, the CSC aims to provide project support to the creative team, allowing them to focus on the day-to-day creative development of client work.
RESPONSIBILITIES:
Manages a variety of timelines and updates for multiple project types; website design, visual identity, branding, work orders, and support requests.
Reviews incoming creative contracts for scope and budget and assigns project teams, taking into account project specifications and team availability.
Ensures all XD budget is received and communicates appropriately if not.
Imports project tickets that relate to contract line items, assigns to appropriate team members and makes updates over the lifetime of the project.
Regularly reviews timelines and team capacity in order to ensure work will be delivered on time. If not, follows the proper route of escalation to make internal teams aware.
Reviews sales leads and websites in preparation for internal strategy meetings, ahead of project kickoff.
Finds solutions for any unplanned deviations that may take place during the course of a project.
Coordinates milestone meetings and presentations across internal and client calendars.
Tracks project process from assignment to completion, updating tickets, timelines, and project tracking systems.
Regularly meets with designers and Art Directors to check in on project process and preparedness
Provides scopes for work orders that are in the early portion of the sales process.
Communicates with other project managers in CMS and Professional Services.
Uses agile project management software to help synthesize project and capacity data.
Reports to the Director of Operations and collaborates with them often to review key project data.
REQUIREMENTS:
Possesses excellent time management skills as it pertains to personal tasks, workflows and responsiveness.
Must be able to make strategic decisions in a timely manner, as well as be able to communicate them successfully to internal and external teams.
Must be collaborative in order to work with cross-functional teams.
Upholds open, clear, and proactive lines of communication with all members of the team.
2-3 years of industry-agnostic experience executing project or traffic management responsibilities.
