Schedule

  • Contract role (1099) – must reside and be authorized to work in the U.S.
  • Remote, flexible, minimum of 20 hours/week
  • Core availability between 8 am – 5 pm (time zone dependent), with quick and regular client communication expected

Responsibilities

  • Input and manage data accurately, maintaining organized records
  • Create and maintain organized inboxes and calendars, resolving scheduling conflicts
  • Schedule appointments and coordinate travel arrangements, including last-minute changes
  • Draft, edit, and send professional correspondence, reports, and documents
  • Support basic purchasing and order management, ensuring cost efficiency
  • Provide day-to-day administrative support, handling multiple tasks and deadlines
  • Communicate clearly and professionally with clients, stakeholders, and team members
  • Protect sensitive and confidential information at all times
  • Collaborate with other VaVa team members to support clients and projects

Requirements

  • 2+ years of administrative assistant or related experience
  • 2+ years of experience working virtually in a full-time role
  • Strong organizational and problem-solving skills
  • Excellent verbal and written communication abilities
  • Proven ability to multi-task and manage competing priorities
  • Must be available at least 20 hours per week to support high-touch, deliverable-focused clients

Technical Skills

  • Proficiency in Google Suite, Microsoft Office, Slack, Calendly, and project management tools
  • Experience with CRM systems and email/calendar management
  • Ability to recommend tools and workflows to improve client operations
  • Comfortable working with high-volume inboxes and fast-paced digital environments

Compensation

  • Freelance/contract role; hourly rate depends on experience and client fit
  • Contractors typically set their own freelance rates
