As an Administrative Assistant, you will work closely with the Executive Assistant in providing high-level administrative support to the Senior Management Team (9 people). You will support the rapid pace of our high-growth organization by ensuring all details are attended to. This role plays a critical part in our organization as you will be the liaison for the company leaders to both internal and external partners.
Location: Remote – Eastern / Central time zone preferred
What You Will Do:
Be the champion for the Senior Management Team through the execution of:
- Management of multiple schedules across ALL global time zones
- Organize team meetings, prepare agendas in collaboration with team leader
- Interview scheduling with proper preparation of role and candidate details
- Assist Senior Management Team in the preparation of monthly metrics
- Coordinate internal reports
- Preparation of presentations using Google Slides
- Keeping track of Marketing team’s contracts and NDAs
- Travel bookings and handling associated expenses
- Reconciliation of expenses in Expensify, categorize spending into budget categories
- Support Executive Assistants in the coordination of events
- Other administrative support as needed
This role will be a visible team member and need to be comfortable being responsible for building and maintaining a great culture in a distributed and diverse remote environment at Cloudbeds. The right individual for this role will have the dedication to push things forward throughout the organization while anticipating needs, troubleshooting issues, and responding proactively and calmly under pressure. You’ll Succeed With:
- 5+ years of experience as an administrative assistant supporting a team
- Remote experience is strongly preferred
- Flexibility to work miscellaneous hours within a global environment on an ad-hoc basis
- Ability to work through and troubleshoot issues that arise with a solution-oriented mentality
- Confidentiality best practices required
- Extreme attention to detail and ability to multitask with time sensitivity
- Ability to work in a fast-paced environment as part of a team
- A collaborative approach to problem-solving
- Excellent written and communication skills, English fluency
- A second language is advantageous
- Experience in Google Suite preferred
- Experience with Expensify a plus
- College degree preferred
- Experience in living abroad or traveling for an extended period of time is a bonus
