Schedule

  • Remote (United States only)
  • US business hours
  • 20–40 hours per week

Responsibilities

  • Prepare and send invoices, track payments, and maintain expense records
  • Research industry trends and compile reports for decision-making
  • Organize and manage digital documents and files
  • Perform data entry tasks such as lead lists, meeting minutes, payroll prep, and research notes
  • Research and source products, secure samples, and handle purchase needs
  • Maintain CRM data for marketing and sales campaigns
  • Monitor ongoing projects and coordinate internal communication
  • Oversee calendars, avoid scheduling conflicts, and prepare executives for meetings
  • Book travel arrangements including flights, hotels, and rental cars
  • Handle incoming/outgoing calls and schedule appointments
  • Manage email inboxes, draft responses, and track important correspondence
  • Synthesize data into clear reports, decks, and presentation slides
  • Upload content, manage reviews, and ensure profiles stay updated
  • Assist with ad hoc administrative tasks as needed

Requirements

Minimum Qualifications

  • At least 3 years of Executive Assistant experience supporting C-suite leaders
  • Bachelor’s degree or equivalent certification (required)
  • Strong phone, email, and instant messaging communication skills
  • Excellent written and verbal English (B2 level or above)
  • Advanced organizational and time-management abilities
  • Tech-savvy with familiarity in cloud services and collaboration tools
  • Experience with MS Office, Google Workspace, and spreadsheet management
  • Proactive, adaptable, and eager to learn
  • Knowledge of online scheduling tools such as Google Calendar

Technical Requirements

  • USB noise-canceling headset
  • Working webcam
  • Computer with minimum 1.8 GHz processor and 4 GB RAM
  • Primary internet: 25 Mbps wired connection
  • Backup internet: 10 Mbps
