About Our Client: Our client is seeking a proactive individual to join their team and assist with various administrative tasks related to meetings and professional development initiatives.

Job Description: Addison Group is seeking a highly organized and detail-oriented Administrative Assistant to support our client’s Meetings and Professional Development department. This is a contract opportunity to cover a maternity leave, offering valuable experience within a dynamic association environment.

Key Responsibilities:

  • Process departmental invoices and contracts through the appropriate systems, ensuring timely approvals and payments.
  • Manage and monitor departmental inboxes, addressing inquiries and requests promptly.
  • Coordinate and schedule meetings, including preparing agendas and taking detailed minutes.
  • Assist with event planning and logistics, including communication with external stakeholders.
  • Maintain accurate records and track project deadlines, adhering to established Standard Operating Procedures (SOPs).
  • Reconcile monthly credit card statements and manage related documentation.
  • Support special projects as assigned by the department director.
  • Oversee organizational event and webcast calendars.
  • Monitor webcasts in conjunction with production partners.
  • Research, recommend, and contract private dining locations.

Qualifications:

  • Minimum of 2+ years of corporate administrative experience.
  • Experience in the nonprofit or association industry is highly preferred.
  • Bachelor’s degree preferred, but not required.
  • Proficiency in MS Office Suite (intermediate to advanced) is essential.
  • Experience with Salesforce and Agiloft is a significant plus.
  • Familiarity with contract management and processing.
  • Must have a 7 year county background.
  • Must be able to work Monday – Friday with core availability from 9 AM to 4 PM, with an 8 AM–9 AM start time.
