About Our Client: Our client is seeking a proactive individual to join their team and assist with various administrative tasks related to meetings and professional development initiatives.
Job Description: Addison Group is seeking a highly organized and detail-oriented Administrative Assistant to support our client’s Meetings and Professional Development department. This is a contract opportunity to cover a maternity leave, offering valuable experience within a dynamic association environment.
Key Responsibilities:
- Process departmental invoices and contracts through the appropriate systems, ensuring timely approvals and payments.
- Manage and monitor departmental inboxes, addressing inquiries and requests promptly.
- Coordinate and schedule meetings, including preparing agendas and taking detailed minutes.
- Assist with event planning and logistics, including communication with external stakeholders.
- Maintain accurate records and track project deadlines, adhering to established Standard Operating Procedures (SOPs).
- Reconcile monthly credit card statements and manage related documentation.
- Support special projects as assigned by the department director.
- Oversee organizational event and webcast calendars.
- Monitor webcasts in conjunction with production partners.
- Research, recommend, and contract private dining locations.
Qualifications:
- Minimum of 2+ years of corporate administrative experience.
- Experience in the nonprofit or association industry is highly preferred.
- Bachelor’s degree preferred, but not required.
- Proficiency in MS Office Suite (intermediate to advanced) is essential.
- Experience with Salesforce and Agiloft is a significant plus.
- Familiarity with contract management and processing.
- Must have a 7 year county background.
- Must be able to work Monday – Friday with core availability from 9 AM to 4 PM, with an 8 AM–9 AM start time.
