The Academic Affairs Coordinator is responsible for planning and executing operations within Academic Affairs. The Academic Affairs Coordinator works in consultation with departmental and divisional leadership to ensure smooth and efficient operations within Academic Affairs.
Primary Responsibilities:
- Act as the primary point of contact for all operational and logistical planning and execution within academic affairs. Ensure that Academic Affairs is well-organized.
- Oversee the coordination of timely and accurate communication with full-time faculty, adjunct faculty, academic facilitators and academic affairs staff including logistical questions from instructors.
- Coordinate with departmental leadership and colleagues across the College and Kaplan North America to maintain a comprehensive class schedule for all offerings, both public and private; communicate with instructors regarding course schedules; ensure access to course materials and log-in credentials.
- Oversee the scheduling and execution of Academic Affairs gatherings and special projects, both in-person and remote, such as faculty and staff meetings, faculty summits, kick-off calls for newly released courses, Academic Affairs team meetings, book-clubs, newsletters, blogs, etc.
- Liaise with HR, departmental leadership and the Dean of Faculty and Academic Resources to assist with on-boarding new faculty. This includes working with HR to ensure new faculty complete required forms, have access to the Faculty Handbook and other essential materials and participate in required instructor trainings.
- Maintain the faculty file repository, the Academic Affairs policies, as well as other necessary spreadsheets and databases within Academic Affairs.
- Liaise with HR to ensure adjuncts and academic facilitators are paid accurately and timely, maintain current information for all instructors, and assist with job postings. This includes scheduling interviews and following up with candidates so that curriculum vitae and other documents are gathered.

Minimum Qualifications:
- Bachelor’s Degree or higher in any field.
- Minimum 2 years’ experience with higher education either as administrative/operational support and/or other experience within academic affairs.
- Google Suite, Microsoft Office Suite, exceptional interpersonal written and verbal communication skills, precision/attention to detail, supreme organizational and coordination skills, sensitivity and discretion with confidential matters, training and presentation skills
Preferred Qualifications:
- Experience with a learning management system, experience with student information systems, experience with complex course-scheduling, event-planning experience, experience creating newsletters and blogs.
