The Opportunity

Our Executive Assistant position is a multi-faceted, dynamic role that administratively supports the CEO, executive team, and all aspects of the operational side of the business. This person is highly organized, self-motivated and ensures all of the “behind the scenes” processes run
flawlessly. The Executive Assistant oversees the organization of the CEO and e-staff calendars while also helping to coordinate company-wide experiences such as our weekly all-hands meetings, quarterly offsites, days of service, and ad-hoc committee programming. Their work will span scheduling meetings, liaising with other EAs at our parent company (Bright Horizons), creating slide decks, maintaining or processing data, booking travel, assisting with coordinating events and more.

The ideal candidate will anticipate needs, be eager to pitch in wherever needed, enjoy building community, possess top-notch organizational skills, be comfortable with ambiguity, possess the ability to maintain confidentiality, and take pride in getting things done right and ahead of schedule. This is a great opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of our organization. The Executive Assistant/Office Manager reports directly to the Senior Corporate Program Manager and sits on the Operations team.

Key Responsibilities

  • Maintains the CEO’s calendar by planning and scheduling business meetings, conferences, teleconferences, as well as coordinating and booking travel arrangements.
  • Assists the Sr. Corporate Program Manager with daily administrative duties and completes a broad variety of administrative tasks that include completing reports; composing and preparing correspondence; creating slide decks, itineraries and agendas and compiling documents for meetings.
  • Plans, coordinates, organizes and helps at various company meetings, events, and celebrations.
  • Serves as a liaison with the multiple executive assistants at Bright Horizons in order to coordinate executive level meetings (including room reservations for in-person meetings) that include the CEO and e-staff members.
  • Serves as a brand ambassador for the company, greeting and establishing rapport with employees, clients, and visitors.
  • Manages our weekly all-hands programs and agendas, including serving as Emcee.
  • Perform ad-hoc tasks as determined by the Sr. Corporate Program Manager.

Required Qualifications

  • Highly organized and self-motivated
  • Excellent verbal and written communication skills
  • Detail-oriented with good time management skills and ability to prioritize work
  • Ability to take initiative, anticipate needs and exercise independent/sound judgment
  • Positive attitude and high energy
  • Sense of urgency
  • Resourceful and creative, delivering great results with lean resources
  • Approachable and able to quickly build rapport with everyone you interact with
  • Prioritize effectively and juggle multiple projects in a fast paced environment
  • Minimum of one year working in an Office Management capacity
  • Experience using Google Suite
  • Must be proficient with Microsoft Office, Word, and Excel

Desired Qualifications

  • Familiarity with Microsoft Outlook
  • Experience working in a remote office environment
