Job Description:

Coordinate meetings and incentive trips involving customers, associates and vendors locally, nationally and internationally.

Responsibilities:

  • Work with sponsoring departments/branches to determine meeting/trip specifics such as meeting/trip objectives, nature of group, meeting room configuration, audio-visual equipment needs, special requirements, types of meal functions, ground transportation needs, etc.
  • Use Cvent software to submit RFPs (request for proposals) to multiple destinations and properties containing meeting / trip specifications
  • Prepare budgets based on meeting needs and proposal feedback and develop meeting/trip to fall within budget guidelines
  • Perform physical site inspections of hotels for major meetings and incentive trips when necessary
  • Negotiate hotel room rates, meeting room rental fees, food & beverage pricing and other concessions with hotel and other vendor suppliers
  • Negotiate and sign hotel and other vendor supplier contracts
  • Coordinate all trip details with hotels, caterers, transportation providers, restaurants, activity suppliers, etc.
  • Use company credit card for payment to vendors where possible; if credit card not viable, supply company credit information to hotels and make arrangements for direct billing/master account or individual payment
  • Build meeting/trip websites including detailed trip information and registration tools for attendees
  • Act as liaison with Travel Planners to coordinate airline transportation for groups
  • Prepare and communicate all trip details to attendees
  • Build meeting/trip apps for use on-site at program
  • Travel to work at off-site meetings and incentive trips as required
  • Reconcile all final bills from hotel and other vendor suppliers and communicate to branches/Headquarters departments or bill out for completed meetings and incentive trips
  • Keep detailed records of all meeting related expenses

Qualifications:

  • Bachelor’s degree (4-year) from an accredited college or university preferred
  • CMP or other meetings-related certifications preferred, as well as involvement in professional organizations such as MPI
  • Three or more years’ experience in Meeting and / or Incentive Planning preferred (preferably in a corporate environment)
  • Ability and willingness to travel approximately 30% of the year (mainly January-May, including most weekends)
  • Command of MS Office Software (Excel, Word, PowerPoint, Teams, etc.)
  • Command of Cvent and CrowdCompass software (RFP and Event Management tools)
  • Ability to balance multiple deadlines and prioritize tasks daily
