LOCATION:
The Operations Specialist position is a remote, work from home position, as are all positions at Acceleration Partners (a structure central to our culture and our vision to change the work/life paradigm). Candidates who live in the following States will be considered: CT, IL, MA, NH, NJ, PA, RI, VA, FL, GA, MN, OR, TX, AZ, ME, NC, OH, SC, TN. Some travel is required for client meetings or other internal meetings, conferences, etc.
THE ROLE:
As Acceleration Partners continues its growth as the biggest and best affiliate agency in the world, and as the company becomes increasingly international in nature, the complexity of the business and volume of strategic initiatives has also increased. The Business Operations team is responsible for managing ongoing cross-functional operations of the business but also serve as an internal resource for all departments, managing larger internal projects with project design and documentation as well as project management support. The Business Operations teams is seeking an Operations Specialist to supporting with executing on tactical Business Operations activities to help them drive the business toward its short and long-term goals.
The Operations Specialist role will be varied, with responsibilities shifting based on the priorities of the Business Operations and Senior Leadership Teams, as well as the needs of the business. Regardless of the activity, the primary objectives for the Operations Specialist would be to bring operational excellence, organization, and tactical support to the Operations team.
Examples of responsibilities include:
- Tactical support on key operational functions documentation, organization, monthly and quarterly Business Operations reporting, process documentation, etc.
- Work with Project Manager to collect information, and build project reports and debriefs.
- Support client invoicing with data entries to internal tracking documents and Salesforce.
TOP 5 JOB RESPONSIBILITIES:
- Operations Team Administration Execute various administrative duties in support of the Operations Team, including but not limited to triaging project and support requests, supporting client billing and invoicing, coordinating centralized team semi-annual surveys, etc.
- Operations Team Organizational Support Work with Operations Manager to execute various administrative duties in support of the Business Operations Team, including but not limited to organization of team workspaces, process documentation, etc.
- Project Coordination – Collect, maintain, and track project metrics. Works closely with Project Manager to build quarterly project reports and debriefs.
- Process Creation and Automation Support On both an ad hoc basis and in accordance with specific project requirements, work with Operations Manager to solicit and compile ideas and input from the larger Acceleration Partners team on areas of opportunity or improvement.
- Data Operations Manage data for key operational processes including executive level report, cross-functional processes, Salesforce and more. Ensure that the right data and accurate data is available to for the right people in order to produce high quality and timely data-driven analysis.
MINIMUM QUALIFICATIONS AND SKILLS:
- 1+ years of project management, operations, or similar experience
- Proven ability to drive projects forward, identifying roadblocks and determining how to get past them
- Detail oriented
- Technology savvy with the ability and desire to learn a variety of software systems
- Superior communication and organization skills
- Microsoft Office experience
- Basic analytics skills and comfort with excel
- Experience coordinating projects across a variety of stakeholders
- Familiarity with Smartsheet preferred

By 3 Months you will have learned several operations processes and systems and are able to take action on them operationally with limited guidance. You are owning most of your tasks with limited guidance.
By 6 Months You are familiar with all operational processes and confident in your ability to maintain and improve those processes. You are owning your tasks with little to no daily guidance.
